1. Who is responsible and how to contact us

Your message will be directed to the personnel responsible for handling it.

2. Information you provide

Business inquiries may include your name, work email, company, country or region, telephone number, role and message. Depending on the form, some fields are optional. We also receive information you send by email or share in a related telephone conversation, including product interests, application requirements and technical questions.

Case study applications ask for your name, company, work email, country or region and intended application. Job title and telephone number are optional. We record the case requested, application reference, submission time, review status and related correspondence or review notes.

Sample requests may additionally include the products and quantities requested, testing purpose and timeline, requester type, project stage, destination country and relevant end-customer information. If you choose to provide delivery details, we collect the recipient's name, delivery telephone number and address. If you ask to use your courier account, we collect the courier name, account number and your authorization to use it for the shipment.

Provide only information relevant to your request and information you are authorized to share. General website forms are not intended for passwords, payment-card details, identity documents or confidential plant and process records. Contact our team first if the discussion requires a suitable channel for sensitive material.

3. Information from website use

Our website and its hosting, security and analytics services may receive technical information such as an IP address, browser and device details, pages requested, referring website, approximate location and the time of a visit. Server and security logs help identify errors, malicious traffic and misuse of forms or download links.

Forms can retain the source page, website language, request reference and submission or delivery status so we can route an inquiry and investigate a problem. Where analytics is accepted, referral and campaign information may also accompany an inquiry to help us understand how visitors find the relevant content. The case study system uses a protected hash of an IP address for submission-rate controls; other hosting or security services may separately process the underlying connection information.

4. Why we use the information

We use contact and application information to respond to questions, discuss product suitability, provide requested technical information, assess sample or case study requests and manage related business communications. Delivery and courier details are used to review shipping arrangements and arrange an approved sample shipment.

We use request records and technical information to administer the website, prevent spam and duplicate submissions, troubleshoot delivery failures, protect restricted reports and investigate misuse. Optional analytics helps us understand which pages and navigation paths visitors use so we can evaluate website content.

Submitting an inquiry or application is not a blanket agreement to unrelated marketing. In particular, submitting the case study or sample form does not automatically subscribe you to marketing emails. Where we send marketing communications, applicable consent requirements apply, and you can use the unsubscribe option provided or contact us to stop them. Necessary replies about an active request or transaction are handled separately.

5. Case study review and recipient-marked PDFs

Full case studies are provided through a review process. Your company details, work email and intended application help Cestoil assess the request and decide what information can be released. Review notifications are sent to [email protected], and relevant Cestoil personnel may review the application or contact you for clarification. Submitting the form does not automatically release a PDF.

Approved copies are marked with the recipient company, email address, issue date and request reference. These markings help identify the intended recipient and discourage unauthorized redistribution. The application record is not a public website listing, but anyone to whom you pass your marked PDF may see the information printed on it.

The system records approval status, link expiry and download activity to administer access. Authorized links currently expire after seven days and allow a limited number of downloads. Link expiry or revocation prevents further authorized access through that link; it does not automatically erase the application record or remove a copy already downloaded. Contact us if you need a correction or have a concern about a recipient marking.

6. Cookies, analytics and your privacy choices

The website uses cookies or browser storage for functions such as remembering preferences, managing authenticated sessions and supporting security. These functions are distinct from optional analytics. Blocking all cookies or storage in your browser may affect some features, including whether your privacy selection can be remembered.

Google Analytics 4 is optional on this website and is configured to load after you accept analytics. You can accept or reject it in the privacy prompt and reopen the controls using the “Privacy choices” button at the bottom of the website. The current site controls also disable analytics when they detect a supported Global Privacy Control signal or a Do Not Track setting enabled in your browser.

If accepted, analytics can include page views and interactions, browser and device characteristics, approximate location, referral information and cookie identifiers. These identifiers can distinguish a browser across visits even when they do not include your name. The current privacy-choice setting is stored in your browser for up to 180 days; clearing browser storage or using another browser may require a new selection.

Rejecting optional analytics does not prevent technical processing needed to deliver and secure the website, submit a request or validate access to a report. Google explains its processing in its information about sites using Google services. You can also manage cookies through your browser and, for supported browsers, use Google's Analytics opt-out add-on. These controls have different scopes and do not stop every type of website or security logging.

7. Service providers and other recipients

Hosting, email delivery, security, analytics and backup providers may process information as part of providing their services. The website uses Cloudflare for delivery and security, including Turnstile checks on protected forms. These services receive technical connection and browser information needed to deliver pages and assess automated or abusive traffic. Fonts and other externally loaded page resources may also disclose connection information to their providers.

Within Cestoil, relevant personnel may receive contact and application details to handle a request for their region, product or technical area. Where an approved sample shipment requires a courier or logistics provider, relevant recipient, delivery and authorized freight-billing information may be shared to arrange it.

Independent distributors listed on the website are separate businesses. Information you send directly to them is handled under their own privacy practices. You can ask us how your inquiry is directed. Information may also be disclosed where required or permitted by applicable law, including in response to a lawful request or to address fraud, security incidents or legal claims.

8. Processing across borders

Cestoil serves customers internationally. Information may be processed in Canada and in other countries where relevant personnel or service providers operate. Processing locations can differ between website hosting, email delivery, analytics, technical support and shipping services.

Information processed in another country may be subject to that country's laws, including lawful access by courts or public authorities. Contact us if you have a question about the processing relevant to your inquiry or application; please identify the service or request concerned so we can respond meaningfully.

9. Retention and security

Retention depends on the purpose of the information, the status of a request or business relationship, applicable recordkeeping requirements and the need to resolve disputes or maintain security. An application may remain relevant after an email has been sent or a download link has expired. Technical logs and backup copies have different operational purposes from active inquiry records.

Backups support continuity and recovery and may retain information after it has been removed from an active system. This policy does not promise that all records are automatically deleted after one fixed period. Contact us for information about retention or to make a deletion request concerning your records; applicable obligations and exceptions may affect what can be removed.

We use safeguards intended to protect personal information, including access controls, website security and backup measures. Case study PDFs are kept outside the public download directory and released through validated links following review. These measures reduce unauthorized access but cannot guarantee complete security of every website, email or storage system.

10. Access, correction and other requests

You can contact us to ask what personal information we hold about you, how it has been used or disclosed, and to request access or correction. Depending on applicable law, you may also be able to request deletion, withdraw consent, or object to or restrict particular processing. Reasonable identity checks, legal exceptions and recordkeeping obligations may apply.

Tell us the email address or request reference involved and what you would like us to review. We will explain any additional information needed to identify the records or verify the request. Withdrawing consent may limit our ability to complete an application, deliver a sample or provide requested information. It does not reverse processing already lawfully completed.

11. External websites and policy updates

We may update this policy when website functions or information practices change. The date at the top identifies the current version. Where additional notice or consent is required for a change, publishing a revised policy alone does not replace that requirement.
